Cancellation & Payment Policy for Vexa

Welcome to Vexa – By registering for and participating in our retreats, you agree to the following terms and conditions. Please read this document carefully as it outlines your rights and responsibilities.

1. Registration and Payment

1.1. Deposit: A non-refundable deposit of EUR 500 is required to secure your spot at the retreat.

1.2. Full Payment: The remaining balance is due latest 30 days prior to the start of the retreat. If payment is not received by the deadline, your spot may be forfeited.

1.3. Payment Methods: Payments are paid via invoice and bank transfer.

1.4. Confirmation: Your spot is confirmed only upon receipt of the full payment.

2. Cancellations and refunds

2.1 To be able to participate to Vexa’s retreats you must have a valid passport and be able to travel to our destinations independently. Flights are not included.

2.2 Payments must be made in full, 30 days before the due date of the first day of the start date, at the most. Failure to complete all payments by the due date will result in loss of entry to the retreat, and no refunds will be given.

2.3 Deposit “Booking Fee”

“Booking Fee”: a non-refundable EUR 500 sum that is required to secure your booking with us. Due to the exclusivity and limited availability, deposits are non-refundable. There will be no deposits refunds provided in any circumstances at any time.

2.4 All retreat payments are due 30 days prior to the start date of the booked retreat, unless otherwise specified. Clients whose balances are not received by the 30 day deadline, risk forfeiting their retreat booking.

2.5 Participant cancellations:

If you need to cancel any retreat with Vexa, cancellation fees will apply. All cancellations must be received in writing. Any promotional inclusions (such as products offered) will be deducted from any refund if applicable.

If for whatever reason you need to cancel your retreat place after you have booked with us, the following refund policy will apply:

  • If you cancel within 24 hours of booking

Once you have confirmation of your booking you have a further 24hrs to cancel and obtain a full refund, including deposit. After this period, the following conditions will apply:

  • 120 days or more

A full refund minus 5% admin charge will be provided for all cancellations up to 120 days prior to start day of the booked retreat. This excludes the EUR 500 per person booking fee which is non-refundable.

  • Between 120 - 90 days

A 50% refund will be provided on cancellations between 90-119 days prior to the start date of the booked retreat. This excludes the EUR 500 per person booking fee which is non-refundable.

  • Between 30 - 90 days

A 25% refund will be provided on cancellations between 60-89 days prior to the start date of the booked retreat. This excludes the EUR 500 per person booking fee which is non-refundable.

  • Less than 30 days

No refund will be provided on cancellations between 29-0 days prior to the start date of the booked. Cancellations less than 30 days before the start date are non-refundable and will result in 100 % loss of revenue.

  • No refund will be provided for premature leaving of the retreat or failure to arrive at the retreat for any reason.

  • No refund will be provided for only part of a booking, for example if a room is booked for two guests who are sharing and one guest is unable to attend, the booking would need to be cancelled as a whole for the above refund policy to apply.

  • No refund will be provided for any room downgrades, after the 24hrs from the point of booking has lapsed.

3. Vexa Retreat cancellations

In the unlikely event that Vexa must cancel a retreat, you will receive a full refund of all payments made. Vexa is not responsible for your expenses incurred in preparation for any cancelled Vexa retreat, such as other accommodation, airline tickets, loss of work, and/or other costs associated with preparing for your trip.

Use of credit or debit cards will not incur a surcharge if payments are cleared in full at the time of booking.
